Terms of Service
Last updated: July 14, 2026
These Terms of Service (the “Terms”) govern access to and use of Costume Log’s websites, applications, and related services (collectively, the “Service”). “Costume Log,” “we,” “us,” and “our” refer to Costume Log, based in Florida, United States. By accessing or using the Service, you agree to these Terms.
1. Eligibility and organizational accounts
You must be at least 18 years old and able to enter into a binding agreement to use the Service. Accounts are currently available by invitation only. If you use the Service for a theatre, entertainment company, production, or other organization, you represent that you are authorized to accept these Terms for that organization.
Organizations control their workspaces, membership, production roles, and the content submitted by their users. An organization administrator may invite or remove members and may be able to access, modify, export, or delete content within that organization’s workspace.
2. Accounts and security
You must provide accurate account information, keep your password confidential, and promptly notify us of suspected unauthorized access. You are responsible for activity performed through your account except to the extent caused by our breach of these Terms or applicable law. We may suspend access when reasonably necessary to protect the Service, an organization, or its users.
3. Permitted use
You may use the Service to manage lawful wardrobe and production operations. You may not:
- use the Service unlawfully, fraudulently, or to infringe another person’s rights;
- upload malicious code or attempt to disrupt, probe, or bypass the Service’s security;
- access another organization’s workspace or data without authorization;
- scrape, copy, resell, or commercially exploit the Service except as expressly permitted by us;
- use public costume piece reporting to harass others, submit knowingly false reports, or upload unlawful content; or
- reverse engineer the Service except where applicable law expressly permits it.
4. Your content
You and your organization retain ownership of the information, photographs, comments, costume piece records, repair records, and other material submitted to the Service (“Customer Content”). You grant Costume Log a non-exclusive, worldwide license to host, reproduce, process, transmit, and display Customer Content only as necessary to provide, secure, maintain, and improve the Service and to comply with law.
You represent that you have the rights and permissions needed to submit Customer Content, including photographs of people, costume pieces, designs, or productions. Do not submit sensitive personal information that is not necessary for wardrobe operations.
5. Public costume piece pages and issue reports
Organizations may place QR tags or short codes on costume pieces. Anyone with the corresponding link or code may be able to view the costume piece details that the organization has approved for public display and submit an issue report without logging in. Organizations are responsible for deciding what they publish in public costume piece notes. Public reporters must have permission to upload any photos or other content they submit.
6. Service availability and changes
We work to keep Costume Log reliable, but the Service may occasionally be unavailable for maintenance, security, or circumstances outside our control. We may add, change, or discontinue features. If a change materially reduces core functionality, we will provide reasonable notice when practical.
7. Third-party services
The Service may rely on third-party providers for infrastructure, storage, email delivery, and similar operational functions, and may contain links to third-party websites. Their services are governed by their own terms and privacy practices. Costume Log is not responsible for third-party websites that we do not control.
8. Suspension and termination
You may stop using the Service at any time. An organization administrator may remove your access. We may suspend or terminate access for a material or repeated violation of these Terms, a security risk, unlawful conduct, or nonpayment if paid services are introduced. Where reasonable, we will provide notice and an opportunity to cure before termination.
9. Intellectual property
Except for Customer Content, Costume Log and its licensors own the Service, including its software, design, trademarks, and documentation. These Terms provide a limited right to use the Service and do not transfer any ownership rights.
10. Disclaimers
To the fullest extent permitted by law, the Service is provided “as is” and “as available.” We disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement. Costume Log is an organizational tool and does not replace professional judgment about costume piece safety, performer safety, laundering, repair, regulatory compliance, valuation, or insurance.
11. Limitation of liability
To the fullest extent permitted by law, Costume Log will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, or data. Costume Log’s total liability arising from the Service will not exceed the greater of (a) amounts paid to Costume Log for the Service during the 12 months before the event giving rise to the claim or (b) US$100. These limits do not apply where liability cannot lawfully be limited.
12. Indemnification
To the extent permitted by law, you and the organization you represent will indemnify and hold Costume Log harmless from third-party claims arising from Customer Content, your unlawful use of the Service, or your material violation of these Terms. This does not apply to claims caused by Costume Log’s own misconduct.
13. Governing law and disputes
These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law principles. Any dispute not resolved informally will be brought in the state or federal courts located in Florida, and each party consents to their jurisdiction and venue. Nothing in these Terms limits rights or remedies that cannot be waived under applicable law.
14. Changes to these Terms
We may update these Terms. We will post the revised version and update the date above. If changes materially affect your rights, we will provide additional notice when reasonably practical. Continued use after the effective date of updated Terms constitutes acceptance of the changes.
